eBay shop subscription and account fees

eBay charges such as your shop subscription and insertion fees belong to no sale. See where ProfitClerk shows them and how they come off your profit.

Updated 13 October 2026 3 min read

Some eBay charges are not tied to a sale: your shop subscription, insertion fees for listings beyond your free allowance, listing upgrades, and credits for any of them. ProfitClerk reads these from your eBay finance data on its own. They appear on the Expenses page in the From eBay card and come off your profit in the profit and loss as eBay shop and listing fees.

Where they come from

eBay records these as charges with no order attached. Every sync reads your eBay finance transactions, and any charge without an order is picked up as an account fee, with its date, eBay's name for it and eBay's memo. Promoted Listings charges are left out here, because the ads report counts them; see Promoted Listings costs and the ads report.

You do not need to type them in. If you already added your shop subscription as an expense by hand, delete that expense so it is not counted twice.

Where you see them

Expenses

On the website, open Expenses:

  • The eBay shop and listing fees figure at the top, marked Added from eBay automatically, is the total for the period.
  • The From eBay card lists the charges, newest first: the name, the date and eBay's memo, and the amount. A credit shows as a minus amount. The latest 12 are shown, with a count of the rest.

In the app, open Expenses; the header shows eBay shop and listing fees for the period.

Profit and loss

Open Reports › Profit and loss (in the app, under Money). Under Costs there is a line eBay shop and listing fees, described as eBay charges that belong to no order, such as your shop subscription. It sits next to eBay fees (fees on your orders) and Promoted Listings.

Why they are not on any order

An order's profit shows what that sale earned. A monthly shop fee is not caused by any one sale, so sharing it over orders would make each one look a little worse at random. ProfitClerk keeps order profits clean and takes account fees off once, in the period they were charged.

That means:

  • Order pages, the orders list and the fee breakdown report do not include them.
  • The profit and loss and your tax figures do.

VAT on account fees

Where eBay charges VAT or GST on its fees, it does so on account fees too. The profit and loss treats them the same way as your other eBay fees: reclaimable VAT is taken out, and VAT you cannot reclaim is part of the cost. See VAT on eBay fees.

Common account fees

These are the names you are most likely to see. The exact wording comes from eBay:

  • Subscription fee: your eBay shop.
  • Insertion fee: listings beyond your free allowance.
  • Listing upgrade fees: for example extra features on a listing.
  • Credits: eBay giving back any of the above.

If you see a charge you do not recognise, match the date and memo against Payments in eBay Seller Hub.

In your payouts and accounting

These charges are taken from your eBay payouts like any other fee. If you link accounting software, they are posted as part of each payout's fee line, so your bank deposit still adds up.

Questions people ask

Do I need to add my eBay shop subscription as an expense?

No. ProfitClerk reads it from your eBay finance data and adds it to Expenses in the From eBay card. Adding it again by hand would count it twice.

Why is my shop subscription not on any order?

It is not tied to a sale, so it cannot change one order's profit. It comes off your profit for the period in the profit and loss instead.

Are Promoted Listings charges in the From eBay card?

No. Ad charges are counted in the Promoted Listings report and the profit and loss's Promoted Listings line, so they are left out here.

A charge shows as a minus amount. What is it?

A credit from eBay, for example a refunded insertion fee. It lowers your eBay shop and listing fees for the period.
