eBay fees show as zero or missing on an order
A new order with eBay fees of zero or marked Missing is waiting for eBay's finance data. See when the fees arrive, how to refresh them and what to check.
If an order shows eBay fees of zero, or its fees are tagged Missing, ProfitClerk is still waiting for eBay's finance data for that order. eBay records its fees separately from the order, often a little later. When they arrive, the order is worked out again with the real fees, with no action needed from you.
Why fees arrive later
ProfitClerk gets each sale from eBay's orders and the money side (fees, refunds, payouts) from eBay's finance transactions. A new order can be synced before eBay has posted its fees. Until then:
- the order's eBay fees are tagged Missing, with the note "Waiting for eBay's finance data"
- the order's profit is too high, because the fees are not taken off yet
- a new-sale notification shows the sale price but no profit
As soon as eBay's finance data comes in, the fees are marked confirmed ("From eBay's finance data") and the profit is updated.
When the fees appear
ProfitClerk reads eBay's finance transactions throughout the day, looking back over the last few days each time. Every night it also re-reads the last 30 days for each eBay account, which catches fees eBay posts late or with an older date, and recalculates the orders they belong to.
Most orders have their fees within a few hours. Occasionally eBay takes longer.
Load the fees now

- Open the order.
- On the website, scroll to eBay finance entries and click Refresh finance entries. In the app, tap Refresh from eBay under Finance entries.
- You see "Finance entries refreshed" with the number of transactions stored, and the breakdown updates.
If no entries come back, eBay has not posted them yet. Try again later.
"Not split by type yet"
Sometimes the total fee is known but not broken down. The breakdown then shows Not split by type yet. Refresh the finance entries to split it into the final value fee, per-order fee, regulatory operating fee, international fee, promoted listing (ad) fee, charity donation and other eBay fees.
Fees that never appear on an order
Some eBay charges do not belong to any order, so they are never on an order's breakdown:
- your shop subscription
- listing fees and other account-level charges
These are in the Profit and loss as eBay shop and listing fees, and on the expenses page, so they still come off your net profit.
Multi-item orders
When one eBay order has several items, ProfitClerk stores a line for each item and shares the order's fees across the lines by their share of the sale. Each line's fees can look smaller than the fee you see in Seller Hub for the whole order.
If fees look wrong rather than missing
- An order shows eBay's figure for this order differs: eBay's earnings for the order do not match the breakdown. Refresh the finance entries, then compare with the order in Seller Hub.
- A cancelled order normally has its fees credited by eBay, often to zero. Any fee eBay keeps stays a cost of the sale.
- On an eBay business account, VAT on eBay's fees may be added on top of the fees. How it is shown depends on your eBay account type in your country and tax settings.
See Numbers differ from Seller Hub for how ProfitClerk's figures compare with eBay's.
Questions people ask
Why are the fees zero on a sale I made today?
eBay records its fees in its finance data, which often arrives a little after the order. Until it does, the fees show as Missing and the profit is too high. They fill in by themselves.
How long until the fees appear?
Usually within a few hours. ProfitClerk reads eBay's finance transactions throughout the day and re-reads the last 30 days every night, which also catches fees eBay posts late.
Can I make the fees load now?
Yes. On the order, use Refresh finance entries on the website, or Refresh from eBay in the app. Viewers cannot do this.
What does Not split by type yet mean?
The total fee is known but not yet broken down into the final value fee, per-order fee and so on. Refresh the finance entries to split it.
Why do I not see my shop subscription on any order?
Charges that belong to no order, such as your shop subscription, are in the profit and loss as eBay shop and listing fees rather than on an order.
